Public Relations User Guide

This guide explains how authorized Public Relations users navigate the Royal Arch Masons Ontario website, use governed administration tools, and assist with approved communications and event workflows.
1. Signing in and the primary menu
Sign in with your authorized website account. Public Relations uses the shared Companion primary navigation, including GC Events, Chapter Events, Grand Chapter Organization, Directory, Forms, Log Out and Help. Authorized PR users also have the WP Admin entry.
Practice: Identify the WP Admin entry and the main public-facing navigation options.
2. Accessing WP Admin and GCO2
Open WP Admin from the primary menu to access the governed administration interface. Use the approved GCO2 entry point for available management workflows. The presence of an administrative menu does not mean every action is authorized.
Practice: Locate GCO2 and identify the PR tools available to your account without changing any records.
3. Understanding PR authority
Public Relations supports approved communications and publication workflows. Each action is governed by its own permission and ownership rules. PR access must not be treated as equivalent to unrestricted WordPress or organization-wide administrative authority.
Practice: Identify which available actions permit editing and which provide viewing access only.
4. Publishing approved communications
Before publishing information, verify its source, accuracy, intended audience and required approval. Use only the publication tools enabled for your PR account. Preview the result and confirm that any published information is appropriate for public viewing.
Practice: Locate the applicable communication workflow and identify where content is reviewed before publication.
5. Assisting with Chapter and District events
The website’s event-management interfaces distinguish Chapter-owned and District-owned records. Authorized PR assistance with a Chapter event must retain Chapter ownership and identify the PR actor and reason in the administrative audit history. PR access to a District event must be established by its specific authorization; do not assume Chapter assistance grants District editing privileges.
The public event listing combines Chapter regular meetings, Chapter social events and District events while preserving their different ownership scopes. The public presentation should not expose administrative editor names.
Important: Grand Chapter events are managed externally using the shared Google Calendar. GCO2 is not a PR tool for creating, synchronizing or posting Grand Chapter calendar events.
Related procedure: How do I create an event?
Practice: Locate Chapter Events, identify the event ownership category and review the permitted administrative actions.
6. Resources and published information
Use Resource Management only for actions explicitly authorized to Public Relations. Preserve revision history and follow the governed version-selection process. Uploading a later-numbered resource revision must not automatically activate it.
Practice: Identify the resource library, available review information and current activation state without modifying a resource.

7. Review and verification
After an authorized change, reopen the relevant record and verify the saved details. Review the public website to confirm that the intended information appears correctly. Where audit history is available, confirm the responsible actor and the purpose of an assisted change.
Practice: Identify where to verify an event’s public title, category and published details.
8. Help and troubleshooting
If a management action is unavailable, first check the effective role, the workflow’s authorization rules and the record’s Chapter or District ownership. Do not bypass access controls. Refer to Help for instructional guidance and to governed administrative records for authoritative decisions.
Help content is publicly readable. Reading an administrative guide does not grant administrative privileges.
