How do I identify an existing Person?

Before creating a Person record for a Companion Request, check whether the individual already has a record in the governed Members Directory.
Procedure
- Open the Companion Request you are authorized to process.
- Review the submitted name, Chapter and other identifying information.
- Use the available existing-Person selection or matching workflow.
- Compare possible matches against the request and any supporting information.
- Check for related historical submissions where the interface provides that information.
- Select an existing Person only when the available evidence supports the match.
- If no reliable match exists, use the authorized Create Person workflow rather than forcing an uncertain selection.
- Review the saved result and confirm that the request is associated with the intended Person.
Important notes
- A similar name is not sufficient evidence that two records represent the same individual.
- Chapter membership and mother Chapter assignments must not be changed merely to make a submitted request match an existing record.
- Potential duplicate identities require review. Do not merge, delete or transfer information without the applicable authorization and supporting evidence.
- Use the normal Back-End Person selection or creation actions where available. Restricted duplicate-confirmation actions are separate.
Verification
Confirm that the correct Person identity is associated with the request, that the available Chapter information is consistent, and that the processing history records the completed action.
